1. Who we are

This website, NearbyPrices.co.uk, is operated by Automated Europe Limited, a private limited company incorporated in England and Wales (Company No. 16951017). Our registered office is 10 Smiths Drive, Swansea, Wales, SA1 7GB.

Automated Europe Limited is the data controller for all personal data collected through this website. We are in the process of registering with the Information Commissioner's Office (ICO) as required under UK GDPR. Our ICO registration number will be published here upon completion.

2. What personal data we collect and why

Price submissions: When you submit a price you have paid, we collect the price amount, a description of the job, the first half of your postcode (e.g. CF11), a username or first name, and a one-way SHA-256 hash of your email address. We never store your raw email address. This data is displayed publicly on our service pages to help other consumers understand local pricing.

Business listing data: When a business registers a listing, we collect the business name, trading name, contact details, address, website URL, trade registration numbers, and price ranges. This data is displayed publicly on our directory pages.

Analytics and usage data: We collect anonymised data about how visitors use the site via Google Analytics 4 and Google Tag Manager, routed server-side through metrics.nearbyprices.co.uk on our own infrastructure to limit third-party data exposure.

Marketing analytics: We use Funnelytics to understand visitor journeys and conversion funnels. This tool processes anonymised session data.

Payments: Premium listing payments are processed by Stripe Inc. Payment card data is handled directly by Stripe and never stored on our servers.

Communications: If you contact us by email we retain that correspondence to handle your query.

3. Lawful basis for processing

Legitimate interests (Article 6(1)(f)): Price submission data is processed on the basis of our legitimate interest in providing a public price transparency service that benefits UK consumers. Data is partially anonymised — email hashed, postcode truncated to first half only.

Consent (Article 6(1)(a)): Analytics and marketing tracking cookies are set only with your consent via our cookie banner on first visit.

Contractual necessity (Article 6(1)(b)): Business listing data is processed as necessary to provide the directory service the business has requested.

Legal obligation (Article 6(1)(c)): We may process data where required to comply with applicable UK law.

4. How we share your data

We do not sell personal data to third parties.

Infrastructure: DigitalOcean LLC (server hosting, London region). All data is stored on servers located in the United Kingdom.

Analytics: Google LLC via Google Analytics 4 and server-side Google Tag Manager. See policies.google.com.

Marketing analytics: Funnelytics Inc. Anonymised session and funnel data only. See funnelytics.io.

Email communications: We use a third-party email service provider for transactional and opted-in marketing emails. The specific provider will be named here once selected.

Payments: Stripe Inc. for premium listing payments. See stripe.com/gb/privacy.

We may disclose data to law enforcement or regulatory authorities where required by law.

5. Cookies

Strictly necessary cookies: Required for the site to function. Cannot be disabled.

Analytics cookies: Google Analytics 4 sets cookies to track anonymised usage. Set only with your consent.

Marketing and tracking: Funnelytics uses first-party cookies to track visitor journeys. Set only with your consent.

You can manage cookie preferences through your browser settings at any time.

6. Data retention

Price submissions are retained indefinitely to maintain historical price trend data. You may request deletion of your individual submissions at any time.

Business listing data is retained while the listing is active. Businesses may request removal at any time by contacting listings@nearbyprices.co.uk.

Analytics data is retained per our providers' standard retention periods (26 months for Google Analytics by default).

Email correspondence is retained for up to 3 years.

7. Your rights under UK GDPR

You have the right to access, rectify, or erase your personal data; to restrict or object to processing; and to data portability. Where processing is based on consent you may withdraw it at any time.

To exercise any of these rights contact privacy@nearbyprices.co.uk. We will respond within 30 days.

You have the right to lodge a complaint with the Information Commissioner's Office at ico.org.uk or by calling 0303 123 1113.

8. International transfers

Some third-party processors including Google and Funnelytics may transfer data outside the UK. Where this occurs we ensure appropriate safeguards are in place including Standard Contractual Clauses approved by the ICO.

9. Children

NearbyPrices is not directed at children under 13. We do not knowingly collect personal data from children. Contact privacy@nearbyprices.co.uk if you believe a child has submitted data and we will delete it promptly.

10. Changes to this policy

We may update this policy from time to time. The date at the top of this page reflects the most recent revision. Registered business users will be notified of material changes by email.
